Wincanton selects Mobile Safety Solutions for depot audits

Logistics operator Wincanton has taken a new compliance management solution from Mobile Safety Solutions to seamlessly handle three-day audits at all its UK depots and with the possibility of extending the programme into the company's European bases.

Wincanton will be using PDA (handheld) computers for carrying out depot health & safety audits across the U.K. with the system supplied by the Wetherby, Yorkshire-based developer of specialist software solutions for the health and safety, environmental and quality management markets.

The MSS product generates full management reports immediately on completion of a site audit and details are automatically emailed to nominated recipients. The reports are also available over the Internet to, anybody given permission to view.

Garry Spicer, Wincanton Group Health & Safety Advisor is hoping to expand usage of the system to some European operations in due course as it can be deployed in a multi-lingual format.  Garry said: "We decided to select the Mobile Safety Solutions system because it can be completely customised to ensure a seamless integration into our already well-established system with
minimal disruption during implementation.

"The expectations are to save considerable operator and management resource in audit processing and report writing due to the real time reporting functionality.  By utilising this solution, it will help improve our service levels to the business, enhance the site-specific response times to
non-compliances identified at audit and streamline the communications and escalation processes through emailed results notifications."

According to MSS marketing director Brian Alsford, the web-based approach achieves substantial time saving with the automated report writing saving a day in each working week: "In addition, the inbuilt due diligence process ensures nominated tasks are completed: "If an action plan is running late the system ensures that new notification emails are sent, and delivered and if delivery fails, the system is smart enough to notify other parties," he says.

"One option in the system is to have the web home page personalised to show key performance indicators like outstanding action plans, inspections not carried out on time, and non-compliances requiring attention.

"Using powerful data filters the information can be displayed to an individual or any stage of a corporate hierarchy.  Responsibility for safety is therefore targeted at the correct level of management, right up to the director responsible for health and safety, across the whole range of his responsibilities," Alsford concludes.
