OnBase version 5.0, the latest version of the increasingly popular document and data management solution from Hyland Software provides new customer-focused solutions for collaboration, e-mail archiving and compliance. Built on a single, unified code base, OnBase 5.0 also includes enhancements to its core capabilities in document management, records management and workflow.
When fully deployed, enterprise content management technologies exist to best control the individual handling requirements of content created by an organisation; including paper, application files, electronic and scanned documents, web content, audio, video files and e-mails, to better manage knowledge capital and to automate key business processes.
Major new features of OnBase V5 include:
Collaboration module: Focused on creating "work spaces" that can be shared. Multiple users can be given rights to these workspaces to participate in discussion threads pertaining to the processing of documents or WorkView objects for exceptions handling and other areas that require collaborative decision-making. An additional benefit of documenting these interactions is providing an audit trail for decision making to support governance, risk and compliance strategies.
E-Mail Archive: A tool to address corporate accountability. Complementing OnBase's existing e-mail solutions, E-Mail Archive works in conjunction with Microsoft Exchange Journaling functionality to capture and store all e-mails. OnBase provides a user interface through which users can retrieve a set of e-mails based on certain attributes.
OnBase StatusView: Enables Web client users to configure their user interface to display, in a portal-like view, all the workflow queues, pre-defined queries and WorkView objects they need to manage their primary job tasks.
EDMS Briefcase: An enhancement to the EDMS module provides a seamless approach for taking documents "off-line" for editing or reference outside of the OnBase environment. When a user who has checked out documents reconnects to OnBase, any changes are uploaded to the OnBase repository.
