SWORD's innovative document control system reduces costly project delays

SWORD, the international IT products and services company, has launched an innovative document control system aimed at significantly reducing the costly delays associated with existing systems used in complex projects by the engineering, energy, transport and other industrial sectors.

The C2Share Document Control system is based on Microsoft's powerful SharePoint 2007 software, which has been enhanced by SWORD using its 15 years domain knowledge and experience of providing focused content management business applications for heavily regulated industries.

Providing the extra functionality needed to control the complex information and information flows typically found within a project environment, C2Share provides a powerful but easy-to-use environment, which can be up and running in minutes as it is a web application that does not require the installation of client software.

C2Share enables the Project Document Controller to efficiently control the flow of documents between contractors and internal staff, and to effectively monitor the documents review, approval and sign-off process. This allows the Project Manager to see at a glance the status of project documentation and to spot bottlenecks and risk areas.

The risk of errors caused by the use of outdated versions of documents is eliminated as everyone works from the same base of documentation, which is instantly available online, eliminating delays in retrieving and printing documents.

Information can be accessed remotely from multiple sites, eliminating the need to create physical or electronic copies of documentation and further reduces the risk of using outdated copies.

In response to incoming transmittals, documents are automatically distributed for action by the system (which can also be integrated with Outlook tasks and contacts), further reducing delays.

As all documents, document distributions, and transmittals, including vendor and supplier queries and replies, are fully audited and time stamped records are kept for all actions, it is easy to track down the cause of changes and delays, reducing project claims and making it easy to manage potential conflicts of opinion.

C2Share is available under a flexible licensing agreement that companies can sign up to for as many licences as they require on a year by year basis, which is well suited to accommodate the project phases from concept design through to commissioning and handover.
