Perceptive Software's enterprise document management solutions provides instant access to documents, increasing productivity and office space
Perceptive Software Ltd have announced that building materials supplier Naylor Industries plc is using ImageNow enterprise document management, imaging and workflow software to elevate productivity and customer service in its sales and accounts departments.
Managers at Naylor realised that storing hard copies of documentation was encroaching on office space. Time-consuming searches for specific documents diverted staff members away from important job tasks and delayed customer service. After evaluating several electronic document management products, Naylor selected ImageNow to eliminate the inefficiencies of paper processes.
"ImageNow was the only system we looked at that is proven to integrate with Microsoft Great Plains," explains Mark Harris, IT manager. "ImageNow's ease of use also impressed us."
Perceptive Software's expertise with Microsoft technologies and proven ability to meet customers' needs earned Microsoft Gold Certified Partner status. Using patented LearnMode technology, ImageNow rapidly integrated with Naylor's Microsoft Great Plains application, without programming. This contributed to an uncomplicated implementation that gave Naylor an immediate return on its ImageNow investment.
"ImageNow seamlessly integrated with our Microsoft Great Plains software," Harris continues. "The link is so tight that some of our users don't realise that it's a different application."
Before implementation, employees at Naylor's satellite sites called the company's head office to request information. Once the hard copy had been retrieved, it was sent by fax. This protracted process inhibited productivity for the recipient and sender of the information.
Naylor uses ImageNow to gain instant, single-click access to proof of delivery slips, contracts and invoices. WebNow, the full featured, browser-based complement to ImageNow, extends immediate document access to authorized users in remote locations. An unlimited number of Naylor employees can view images simultaneously, enhancing project collaboration.
"ImageNow gives people across our organization quick and easy document access," Harris says. "All the data we need is just a click away."
When a customer loses an invoice or contract, they call Naylor to verify information. Immediately accessing documentation in ImageNow allows Naylor employees to send the required details to the customer while he or she is still on the phone.
"ImageNow improves cash flow because we can confirm that customers signed proof of delivery slips," Harris says. "It's also more efficient for our customers because they get the information they need right away."
Hands-on implementation gave managers at Naylor the practical skills to independently administer ImageNow and instruct users in-house. Naylor's staff has reacted positively to the user-friendly ImageNow interface and time savings that the product provides.
Harris concludes: "Our employees like ImageNow because it allows them to do their jobs rather than looking through piles of paper."
