Email vaulting could solve your email headache!
Officially launched this month, Union Square's new Email Vault has already been adopted by five companies who collectively have more than 1500 users; Styles and Wood, Caunton Engineering, Patton Group, ESA and Grimshaw will all be installing the system this month.
"Email management and retention is a big headache for everyone in the construction industry " says Will Yandell Director at Union Square. "The extension of our Email Management functionality to include "vaulting" is a significant step for us and our customers." Companies are increasingly looking for ways to reduce storage of emails within their email systems, improve the management of project related email and provide robust systems to help with compliance issues. The Workspace email vault will provide all of this.
Email is now the communication method of choice in the construction industry, with more than 90% of project correspondence being via this method [Source: Union Square User Conference Survey Oct 2006]. Many contractual details are being agreed and confirmed in email messages, so the growth in emails leads to a greater focus on both the legal and technological issues.
The industry works on a project basis, which means that the storage, retrieval and archive of information are different to the way most other businesses work. This means that standard business tools - such as Microsoft Outlook - do not always serve the best interests of the industry. In fact Outlook provides possibly the worst place to store contact details and a less than ideal place to store large volumes of emails.
The new offering will be invaluable to organisations who struggle to implement effective QA around their use of email. It is very difficult to maintain email archives through the use of network drives or public folders. The new system will be invaluable because it will be much cheaper and efficient to operate than the old way of doing things. The system also provides a complete record of every email that has been sent or received by the company so from a compliance perspective it also ticks the right boxes.
Main benefits:
Reduced email storage requirements within Outlook and Exchange
Improved efficiency in managing and archiving emails
Provides legal compliance by ensuring all email is archived.
For the organisation this functionality has many benefits. As well as the storage issues, the Workspace Email Management Module allows effective.
